Bookings

The Franciscan Centre Ladywell is a busy hub with lots of demand for rooms. This means late cancellations or failures to show lead to a financial loss for the charity and a missed opportunity for other guests.

We recognise that there may be unforeseen and exceptional times when retreatants will need to cancel or rearrange retreats. If a booking is made, that often means another retreatant/group cannot make a retreat here, and refunding and rescheduling involves administrative staff time. We are therefore not able to refund deposits. With all short notice cancellations, additional charges will have been incurred by the Franciscan Centre Ladywell.

As a result, our policy is laid out for clarity:

  • We request a 30% deposit at the time of booking to secure your place. This is non-refundable.
  • Full Payment for your stay is requested one month before arrival. For residential group bookings, failure to pay in full could mean some of your rooms are lost to other guests.
  • Residential group bookings: Room allocation forms will be sent and must be returned one month prior to arrival at the latest.
  • Medical dietary requirements must also be sent one month prior to arrival. Failure to inform us of allergies could lead to unsuitable food being provided.
  • No refund within three weeks of arrival date.
  • Exact number of rooms required must be expressed in full one month before arrival.
  • Late bookings are possible to add to group bookings if rooms are available.
  • No shows individually or from groups, non-refundable.

Checking In and Out

  • Residential guests can check in between 16:00 and 18:00.
  • Rooms must be vacated and keys returned to the box at reception by 10:00 on the day of departure .
  • After check out, guests are welcome to stay for lunch and depart afterwards for an additional fee. Please arrange this when booking.

General

  • Room hirers will be liable for any damage to the room, furniture or equipment caused by themselves or their delegates or anyone for whom they are responsible.
  • The Franciscan Centre accepts no responsibility or liability (other than as a direct result of its own negligence) for any injury, personal loss or damage to personal property belonging to guests or hirers or their delegates and attendees, or for their motor vehicles and contents.
  • The Franciscan Centre Management’s decision will be final over determining any questions arising in relation to the interpretation of these Terms and Conditions.
  • The Franciscan Centre is a non-smoking building.
  • For group bookings or meeting room hire, the group organiser is expected to complete and return the Emergency Plan Detail form for person hiring or holding an event. The group organiser is expected to communicate the information on this form to their participants.
  • All guests and hirers, their delegates and attendees, are required to observe the Health & Safety and Fire Regulations, and evacuation instructions.
